Privacy Policy - The Online Biz AI Advantage HQ

Seen Loved Selling Scale Pty Ltd ABN 27 696 049 573 trading as This is Co. ("Company", "we", "us", or "our") respects your privacy and is committed to protecting your personal information.

This Privacy Policy explains how we collect, use, disclose, store and protect your personal information when you access or use The Online Biz AI Advantage HQ web application ("the HQ" or "App"). It operates together with the Program Terms and Conditions for The Online Biz AI Advantage at https://hello.thisisco.com.au/pages/AIA-terms and the Company's general Privacy Policy at https://hello.thisisco.com.au/pages/privacy-policy, which covers our websites, memberships, communities and other platforms.

By accessing or using the App, you consent to the collection, use, disclosure and handling of your information in accordance with this Privacy Policy.

1. Information We Collect

When you use the App we collect, directly from you:

• your name and email address;
• a password, which we store only in a hashed form that we cannot read;
• the email address you purchased with, if different from your login;
• your business name, time zone and business facts (what you sell, your offers, the tools you use, the people who work in your business, numbers you choose to share publicly);
• the list of work you do in your business and the time it takes;
• the list of skills you have built;
• your answers to questions about how you want your AI employees to work, and your notes;
• your progress through the App;
• support enquiries and feedback.

We also hold, from our sales and membership records, whether you have purchased The Online Biz AI Advantage or hold an eligible membership, and the dates your access begins and ends.

We automatically collect:

• the date and time you sign in;
• technical information needed to serve the App, such as IP address, browser type and device information, held in our hosting provider's logs.

The App does not use advertising cookies, tracking pixels or analytics tools. It uses one cookie, which keeps you signed in.

2. What the App Does Not Collect

The App is designed to hold a summary of your business, never the whole of it. It does not receive, and asks you not to submit:

• your customers' or clients' personal information;
• payment card details (payments are taken through Kajabi and its payment providers, never by the App);
• government identifiers, health information or other sensitive personal information;
• passwords, API keys or other secrets for your own tools;
• the contents of your own AI workspace, files, skills or brain documents, beyond the short summaries the App asks you to paste in.

The App has no access to your own AI tools, accounts, folders or the AI employees you build with them.

3. How We Use Your Information

We use your information to:

• create and secure your account and confirm you own your email address;
• confirm that you hold a current purchase or eligible membership, and end access when it ends;
• generate your team proposals, instruction files, prompts and downloads;
• save your progress so you can pick up where you left off;
• provide support and respond to enquiries;
• improve the App;
• enforce our terms and policies;
• comply with legal obligations;
• protect the security and integrity of the App.

We may send you emails that are part of running the App: confirming your email address, letting you know your access is open, password resets, and notices about the App or your access. Marketing communications are governed by the Company's general Privacy Policy and you may unsubscribe from those at any time.

4. AI Processing

The App uses third-party artificial intelligence providers, including Anthropic (Claude API), to generate outputs from the information you submit. When the App generates something for you, the relevant business facts, work list, skills and answers you have submitted are sent to that provider to produce the output.

• Anthropic processes this information under its own privacy and data policies and may process data outside Australia, including in the United States.
• Under Anthropic's commercial API terms, inputs and outputs are not used to train its models.
• Outputs are AI-generated. You are responsible for reviewing them before you use, install, run or publish them.

5. Service Providers

We use third-party providers to operate the App, including:

• Vercel (hosting);
• Neon (database);
• Anthropic (AI generation);
• Resend (transactional email);
• Kajabi and its payment providers (purchases, memberships and our records of who holds access);
• Zapier (passing purchase and membership events from Kajabi to the App);
• GitHub (code hosting).

These providers may collect, process, transfer or store information in accordance with their own privacy policies. The App does not store payment card details.

6. Where Your Information Is Stored

The App is hosted in Sydney, Australia. Your information is stored in a database operated by Neon and may be stored in Australia, Singapore or the United States depending on the region available at the time. AI processing takes place with Anthropic, which may process data in the United States. Email is sent through Resend, which may process data in the United States.

By using the App, you understand your information may be transferred to, processed and stored in countries outside your own jurisdiction.

7. Who Can See Your Information

Your business information inside the App is visible only to you when signed in, and to the Company's administrators for support, security and access management. It is not visible to other students. We do not sell your information, and we do not share it with third parties other than the service providers named above.

8. Data Security

We take commercially reasonable measures to protect your information, including encrypted connections, hashed passwords, signed sessions, access limited to the signed-in account, and limits on how often the App's features can be used. However, no method of online transmission or storage can be guaranteed completely secure, and you provide information at your own risk.

9. Data Retention

We retain your information for as long as you hold access to the App and for up to 60 days after your access ends or your account is closed, to support restoration requests, operational backups, technical issues and system integrity. Certain records may be retained longer where legally permitted or required, including records of your purchase and access dates.

10. Your Rights

Depending on your location and applicable laws, you may have rights to request access to your information, request corrections, request deletion, withdraw consent, object to certain uses of your data, request portability, and lodge complaints with relevant regulatory authorities.

If you are located in the European Economic Area or United Kingdom, we process your information on lawful bases including consent, contractual necessity, legitimate business interests and legal obligations.

11. Children

The App is intended for individuals aged 18 years and older. We do not knowingly collect personal information from children.

12. Third-Party Links

The App contains links to third-party websites, applications and services, including the AI tools and platforms you use to build your own AI employees. We are not responsible for the privacy practices, content or security of third parties.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Updated versions become effective upon publication unless otherwise stated. Your continued use of the App after updated policies are published constitutes acceptance of the revised Privacy Policy.
